Integration of InvoiceOcean with WooCommerce
Last updated: 2025-01-23
Users of InvoiceOcean who have their online store on the WooCommerce platform can integrate these two tools. In practice, this means that the application generates an invoice after an order is placed in the online store based on WooCommerce. The entire process is automated and requires no additional intervention.
How to start using the integration of InvoiceOcean with WooCommerce?
To use the integration, you need to have an active InvoiceOcean account, an online store on the WooCommerce platform, and follow a few simple steps to connect both systems:
1. Log in to your InvoiceOcean account and navigate to the Settings > Integrations and Add-ons > E-commerce stores > WooCommerce tab. This will take you to the integration settings.
2. Press the Activate button to proceed with connecting your WooCommerce online store to InvoiceOcean.
3. In the appropriate fields of the form, add your store's URL and provide the client key and private key. NOTE: To obtain these keys, you must access the WooCommerce administrative panel and follow the instructions provided there.
Configuration and Settings
After correctly entering your store's details, you will be redirected to the form responsible for WooCommerce configuration. You can also return to it later through the Settings > Integrations and Add-ons > E-commerce stores > WooCommerce > Settings tab.
Complete the settings:
1. Select the department where invoices should be generated. NOTE: If you leave this field blank, the invoices will, by default, be created in the department marked as MAIN. The main department can be set in the Settings > Company/department tab.
2. Select the order statuses from your WooCommerce store at which an invoice should be issued in InvoiceOcean.
3. If you wish, you can also issue Corrections for Cancelled, Returned, and Failed orders.
4. Also, select the type of document that should be generated for orders placed on the WooCommerce platform.
5. Specify when the delivery should appear on the documents.
6. Optionally, select Additional options: automatic invoice sending to the customer, hiding the order number on the invoice, or excluding VAT from the invoices (this option allows issuing documents without VAT), and skipping document issuance for orders of $0 UDS.
7. Don't forget to make the appropriate settings for the VAT number (so that it appears on the document). You can do this on the WooCommerce platform, and you will find detailed instructions in our FAQ.
Warehouse Synchronization
Settings in InvoiceOcean
NOTE! The Products tab and actions are available in every plan, but full warehouse support and the Warehouse module in InvoiceOcean are available starting from the Professional subscription.
It should also be noted that synchronization does not allow for 'copying' products from InvoiceOcean to WooCommerce – that is, the integration does not allow for automatic product creation in WooCommerce (based on those from InvoiceOcean). However, the opposite is possible – products appearing on sales documents generated by the WooCommerce integration can automatically appear in the InvoiceOcean database.
More on this topic can be read here:
Automatically adding products from the sales invoice is available by going to Settings > Account Settings > Configuration > Products > Products on the invoice and selecting the option Automatically add invoice products to the database.
Adding a product using a sales invoice is available by going to Settings > Account Settings > Configuration > Products > Show confirmation checkbox under every item on sales invoices.
WooCommerce Settings
How to add more than one store in the WooCommerce integration?
3. The added connection will operate independently. This means that for each store, you can set a completely separate configuration by accessing the Details tab. You can also remove a connection at any time without affecting the functionality of the other connections.
Order History
In the integration settings, you will also find the View Order History tab. The list allows you to review orders for which the system attempted to issue a document. In case of success, you will be able to preview the invoice, and in case of failure, you will see error information and have the option to retry issuing the document.Learn more about the integration of InvoiceOcean with WooCommerce:
